1. Who is responsible for your data
Your employer ("Company") decides what data is collected through this App and why — the Company is the data controller. RealIntelOps ("Software Provider") operates the App on the Company's behalf as a service provider and processes data only on the Company's instructions. Requests about your data go to the Company (your supervisor or HR contact).
2. What is collected
Account information: name, phone number, username or email, role, and crew assignment.
Location data:
- GPS coordinates at the moment you clock in and the moment you clock out
- A location trail recorded approximately every 30 seconds while you are clocked in and the App is open and visible on screen (foreground only)
- GPS accuracy and speed readings from your device
Time and attendance: clock in/out timestamps, breaks, job assignments, and computed hours.
Job photos: photos you take in the App for job documentation, if your Company uses this feature.
Legal acceptance records: when you accept these documents, your acceptance is recorded with a timestamp, your device's IP address, and browser information. This is collected once per acceptance as electronic-signature evidence, and is the only place IP addresses are stored.
3. What is NOT collected
- No location while you are clocked out, or when the App is closed or in the background
- No access to your personal location history, contacts, messages, or photos outside the App
- No IP address logging on punches or normal App use
- Your personal data is never sold
4. How data is used
Verifying job-site attendance (including distance-from-site checks), building timesheets and payroll reports, scheduling and dispatch, safety and accountability, and the live work map visible to Company management while you are clocked in.
5. Who sees it
Company management and supervisors; payroll processing (time and attendance only); authorities if the law requires it. The Software Provider's hosting subprocessors store data encrypted (currently Supabase and Vercel).
6. Retention
Location-trail data: 90 days. Timesheet records: 4 years (labor-law compliance). Legal acceptance records: kept for the life of the account.
7. Your rights
You may ask to see your data, correct inaccurate data, and have collection explained. Contact the Company's HR contact. Depending on your state, you may have additional rights.
8. Changes
Policy updates will be shown in the App for re-acceptance.
